An email may be the simplest form of communication between businesses, but it’s not taken that seriously as it should be. Many-a-times, it’s written in more of a robotic tone that transcribes into nothing. This tone often abandons the conversation. It finishes the urge to respond or carry the conversation further. Yes, it’s not that simple as you think it is. Sometimes, it depends on the kind of mindset with which you draft one.
Now, the real intent of writing this one is to elaborate on things that can make you sound real and convincing over an email. There’s actually a lot that can happen over emails. Do pass-by the following to make yourself prepared for the next mail you’d write -
Have a motive in your mind
You are gonna send that email to your recipient for them to make a decision or something which you would want them to act upon. Your mind has to be clear before you pen down your thoughts.
Get yourself to answer, what action would you want the receiver to take. You don’t have to be vague while doing that. It is just the opposite of useful, if you’re vague. Keep your mind clear and welcome the thoughts that want to barge-in. And please, don’t make it sound machine-like. Conversational style is what most look for out there.
Conclude in the beginning
Don’t be jaw dropped when I ask you to do that. This is recommended. You must have been taught to write introduction in the beginning, but you should try doing the opposite instead. Conclude in the beginning to feed the recipient about the entire email ingredients.
If they are not told the immediate reason for the mail, don’t expect them to go through the entire piece. Nobody has the time to do that. They’ll probably walk over. For example, if you want to ask for some concession on a service, just ask for it. Do not sit back to write the entire story about how you are suffering financially or anything for that matter.
Simply ask for it, like this – Need x% concession on ‘whatever’. Do not beat around the bush.
Look Smarter in the Subject Line
I have this habit of scrapping subject lines one after another. I just can’t seem to get it right in the first or second instance. The reason why I constantly spend a lot of time thinking about the right subject line is because it would decide my email’s fate. The subject line makes one either open it or never bother it. In my case, I would want the latter to happen.
And I mostly write the subject line, after writing the entire mail, i.e.after giving all the possible arguments and conclusions. So, you got to get a couple of tasks accomplished here-
- strike the curious nerve
– conclude within
Again, it’s easier said than done, but you have no option whatsoever other than making it happen.
The last line of the email brings the recipient to take an action. It’s all human psychology. Final things said, tend to have a much stronger impact than the ones said before. A recipient seeks a direction after reading your mail and this last conclusive statement can provide the much needed one. Hope you’re now all set to draft one.. Go ahead !!
