Over the past few months we have been making enhancements and bringing you updates at rate of knots and look to keep the juggernaut rolling for at least sometime. These enhancements and updates are a result of feedback that we receive in numbers (we are fortunate to have users who work behind the scenes for us) and meticulous brainstorming sessions conducted in our chamber. These updates, however diminutive they seem to be, have big impact not only in the functionality of the application but also connect with the users’ requirements.

Therefore, in our latest update it would now be possible to export all invoice templates to PDF in their respective colors. There were those who requested to have invoice PDF to be in the same color as invoice template, while other just wondered why PDF would have only green color (no matter which color the invoice template was). Hence, this update carries a lot of significance as it intends to meet the invoicing requirements of many while washing away the suspicion of some.

There would be lot many updates, changes and enhancements in the days to come. So don’t hold back any feedback that you would like to be implemented. Just drop it in our mail box and leave the rest to us. Till then stay tuned for our next update!

Over the past few days we have been meticulously working on prioritizing and preparing a list of upgrades/feedback that have been long due and need to be implemented on immediate grounds. One of the most important and significant section of the application is the ‘client preview’ section. Ideally it should give us the bird’s eye view of even the minutest of details pertaining to any specific clients. Therefore, after reviewing this section of the application from the user perspective almost countless times followed by as many deliberations, we decided to necessitate the required enhancements.

The new client preview section will now become your one stop shop for everything you are required to know about your client. Not only this, you can also perform any required action without having to move around the application. The drill down capability for sections like invoices, estimates, expenses and payment history would allow you to view and analyze key metrics of business performance. Since this section has been recently introduced we would be further improving it with additional functionalities.

There is one minor enhancement which has been done on the manage invoices section as well. The status of the invoices would now be highlighted with two separate colors. The light yellow color represents those invoices which have not been sent to your clients while the light orange color represents those invoices which have been sent to your clients. On the invoice status, mouse hover will display a one liner detail about the status. Also while previewing the invoice a notification would display on the top stating on which date the invoice was last sent and when the payment was done for the invoice.

All these upgrades are intended to improve the overall functionality of the application without diluting our underlying principle of simplicity. There is an unending list of feedback/enhancements that we have with us which makes our roadmap unambiguous and uncomplicated. We look forward to your valuable suggestions which have been instrumental in making the application one of the best!

With multi-language invoicing recently arriving at Invoicera, it has become one of the most prevalent and widely used features amongst our users. The flexibility and expediency it brings along has benefited many and also facilitates better, powerful, efficient and localized invoicing. This was the paramount objective with which it was brought into effect.

To extent the advantage further we have made few enhancements in the way multi-language invoicing is done. Till now it was only possible to create an invoice in any language by typing that particular language and manually replacing the invoice headings. But it would now be possible to generate invoices in 11 different languages with just a single click.

You can customize invoice fields in different languages either at the time of adding a new client or by editing the existing client. The ‘Invoice Template Field’ button shows you the list of terms that would be used in the invoice and the ‘Select Language’ dropdown allows you to choose the language. All invoice fields would be converted in the language selected. Apart from changing the language you can change the name of the invoice field as per the nature of your business or profession.

As usual we would encourage you to keep posting your feedback and keeping the development live and kicking!

In the most recent feature update your Invoicera account would now have the ability to generate future revenue reports from recurring invoices. Remember report cards that you used to dread during your school days, this one is very different. The difference is that instead of D against subjects this recurring report would generate forecasted revenue that you would potentially be earning from your recurring invoices during the entire year.

We believe this report would be extremely beneficial for all Invoicera users who have created recurring profiles for invoicing. They would be able to view the forecasted revenue for all recurring invoices during the current year. Just imagine the impact it would have to have the ability to view all of next year’s expected invoices based on all the recurring profiles. Let us take for instance, if X is a web hosting service provider and uses Invoicera almost solely for hosting and email campaign bills (which is recurring revenue) and has the ability to glance through where he stands in the current year, month by month, in terms of the revenue generated would be invaluable.

It is this thought that prompted us to integrate this feature with Invoicera, just to give that extra leverage and ability with your invoice reporting.

Along with this update we also took the opportunity to provide you with additional permission for your staff. Now while giving staff permissions you would have the option to grant access to your staff members to view only those invoices which they have created for their clients. This implies staff members would be able to view only those invoices which they have created and not created by any other staff member. This permission can be granted by ticking ‘Staff Specific Invoices/Estimates’ under the staff tab in set permissions.

Do let us know how important this feature update has been for you by leaving your comments.

Hola amigos! We bring you some very exciting news this week as we roll out the most puffed feature – Multiple Language Invoicing.

You can now send invoices and estimates in any language that you wish to, be it French, German, Spanish, Dutch so on and so forth. This is where Invoicera’s multiple language invoicing is different from the rest. We not only support all major languages but also support not so commonly used languages. This would enable our users to create and send invoices in their local language, hence facilitating better, powerful and efficient invoicing.

And as for those users who have appetite for international invoicing now have the option to send a Factura to Spanish client, Fattura to Italian client, a Rechnung to German client and in any other client language across the globe.

Invoice Template Customization

Apart from creating invoices/estimates in multiple language you now have the option to customize invoice/estimate templates as well!

You would now be able to edit/customize invoice templates with your custom fields and in any language. This implies you would have the option to replace the field for e.g. product/service with your own custom field and in any language.

With our distinguished customization feature you can change the fields in the same language in which you wish to create an invoice. For e.g. if you want to display products/services field in German, then you can mention this is as Produkte/Dienstleistungen on the invoice. Similarly you can customize other fields as well.

Most of freelancers and businesses are required to invoice clients in various countries, and must or should prepare invoice in the client’s primary language. Invoicera’s invoicing now fits this requirement and invoices can be created, send, exported to PDF and Printed in any language.

Calculator

While adding new features we also took the opportunity to enhance usability by making some minor changes but above all by providing you with the option to use calculator. The use of calculator would allow you to make quick calculations while creating invoices or estimates. This might seem to be a small feature but a very useful one.

Over the fast few days we have been busy beavers working meticulously to provide you some of the best invoicing features ever! We believe these features would be very useful for all those with the appetite for international invoicing.

While the Internet is a global phenomenon that connects different people in different countries, we decided to take a step forward and connect with our existing and potential users geographically. We have now created pages with content specifically tailored to the user on the basis of their geographical location (In this case India).

Therefore, from this moment onwards our users from India would be able to view the pricing in Indian Rupee (INR). They would also be able to make payments in INR through Moneybookers payment gateway. This has been specifically done to increase visitor satisfaction and to enhance user interface.

With this new enhancement we look to be equally interactive with visitors who wish to use currency other than USD, or who live outside countries with the largest Internet user bases, like USA, UK, Australia and so on. But with some of the largest growing economies like India using Internet more than ever before, ignoring specific user requirements is no longer a smart decision.

Its time to get smart and by being aware of users from different nationalities who speak different languages or use different currencies, we have attempted to create a truly global application displaying information tailored specifically for them without altering its behaviour for other visitors.

Off lately, we have been on feature adding spree that eliminates any limitations associated with International invoicing. And we believe this update would be particularly useful for our Indian customers.

As always we welcome your suggestions and feedback for this update.

La facturación no debe tener límites! Yes, we all agree billing should indeed have no barriers and no boundaries. And therefore, we decided to give our users a pleasant surprise by providing the most puffed up feature till date. Although we were amongst the few online invoicing applications to launch multi-currency invoicing relatively early to purge geographical barrier, we are once again ready to roll out another feature that would completely eliminate any limitation associated with International invoicing.

Invoice Template Customization and Multi Language Invoicing would be soon launched, but with a difference.

With the introduction of this feature you would be able to do something different with our invoicing application. You would be able to create invoices and estimates in any language…Almost! And you would be able to customize and change invoice and estimate headers with your own custom fields and in any language.

With the release of our new invoicing capabilities, all our users would be able to transact globally with Invoicera’s multi-currency and multi-lingual invoicing. Record foreign currency invoices and expenses without compromising on decimal precision. Now you will be able to send a Factura to your Spanish client, Fattura to your Italian client, a Rechnung to your German customer and in various other languages. Feeling excited already?

Hold on to your mounting excitement for just a little longer till we make this feature available. So stay tuned for our next big update.

When we released the new Invoicera version earlier this year it was one of the few affordable online invoicing services to support some of the most advanced and innovative features including multiple currency support with real time conversion. Since then we have been persistently and constantly working towards making improvements and enhancements to address any invoicing limitations. And we have been pleasantly surprised by the number of users seeking new features. This upgrade largely incorporates the most requested features and the ones that would look to eliminate any further invoicing limitations. So let’s quickly get down to the details:

Default Exchange Rate

Prior to the upgrade, you could send invoices in the currency set for your client and the amount would be converted through currency converter. This doesn’t go well with some of our users who wanted to use their own pre-defined exchange rate instead of the amount being converted by the converter.
With this upgrade it would now be possible to invoice clients in the exchange rate that you wish to use. You can set your default exchange rate while adding a new client or by editing the existing client. Also, you can edit the exchange rate even while creating an invoice. For each particular invoice exchange rate can be set and all calculations for that invoice would be done accordingly.

Custom Fields

Custom fields are of great help if additional information needs to displayed on invoices. You can make use of these additional fields for displaying VAT ID, Company Registration No., Website Address, etc. These are optional fields and a maximum of four custom fields can be added on any invoice or estimate.

Decimal Places and Currency format

Invoicera now supports four decimals places for all values displayed on the invoice. All amounts in the invoice will be formatted to display up to the decimal places you have specified. If you are selling plastic cards and when selling 100000 every 0.0001 EUR counts or any other business not happy with the restriction of 2 decimals, you can try out Invoicera now – the quantity decimal places should no longer be a deal breaker. With this, your invoices should look more accurate and better.

Expense Backup

Consider this as more of an additional option where you would now be able to take backup of all your expenses incurred. This would allow you to export the details of the expenses to your system for future reference.

This upgrade lays the foundation for more exciting things to come from the Invoicera stable. Since we are in the midst of a hot Indian summer, one way to beat the heat is by delivering some cool stuff for our customers. Stay tuned for more.

Small and medium sized businesses have always been troubled by late payers, debtors and defaulters. Considering that this particular sub-set of clients continue to make life difficult for entrepreneurs, here are some tips to keep the cash flowing:

1. Sound Credit Practices – It is always important to follow sound credit practices, especially while dealing with a new customer. Conducting a trade reference and a bank reference is helpful to know the credit worthiness of your new client. Credit reports, available from Dun and Bradstreet and others, report on a company’s general financial health as well as how quickly or slowly it pays its bills.

2. Invoice Promptly – Make sure to invoice your customers without any delay. The faster you mail an invoice, the faster you will be paid. If deliveries do not automatically trigger an invoice, establish a set billing schedule, preferably weekly. All invoices should include a payment due date along with invoice notes and terms and conditions.

3. Follow up on Default Payments – Don’t allow an invoice to remain overdue for a very long time. As soon as a bill becomes overdue, call the customer and ask when you can expect payment. Ask delinquent customers with genuine financial problems to try to pay at least a small amount periodically. When necessary, don’t hesitate to seek professional help from an attorney or collection agency.

4. Offer Trade Discounts – Offering discounts on prompt payments is a widely used technique to encourage customers for making timely payments. Given an incentive, some customers will pay sooner rather than later. Trade discounts typically give 1% – 2% off the total amount due if customers pay within a certain no. of days.

5. Deposit Payments Promptly – It is always a healthy business sign when you have optimum working capital available. And sooner you make a deposit, the sooner you can put the money to work for your business. This speeds up your business cash flow and makes funds available for daily expenses.

6. Review and Reduce Expenses – If you’re not sure an expense is necessary, hold back until you are confident it will have a favorable impact on the bottom line. Reduce operating costs such as switching from a weekly to a biweekly payroll to reduce payroll processing costs. Be careful not to cut costs that could hurt profits. For instance, rather than cutting the marketing budget, redirect the money to areas where it has a more positive impact.

7. Pay Bills on Time – Even though you are required to pay for your bills on time, you can take the liberty to pay as late as possible but only to an extent where you do not incur late fees or interest charges. Exception could be made for bills where trade discounts are offered.

8. Manage Inventory Efficiently – Inventory management is essential to maintain proper cash flow. Less cash tied up in inventory would invariably result in better cash flow. Also, make sure to order for additional inventory when current inventory level is down to bare minimum.

These tips could prove useful to small and medium businesses in keeping the money flowing and maintaining a healthy cash flow. If there are any more ways that you feel could be helpful, then share them with us by leaving your comments below.
