In brief

Invoicera is MSP billing software for managed IT service providers. Client invoices can combine managed-service retainers, per-seat, per-device or per-site quantities entered or imported as line items, project milestones and approved time, each line keeping its source, rate, period, reviewer and receivable state. It does not monitor devices, run a service desk or ingest raw usage events.

Sound familiar?

The seat count changed. The invoice did not.

A client added twelve users mid-month, retired three laptops and signed off a server migration. The agreement says how each is billed, but the counts sit in one export, the sign-off in an email and the hours in a timesheet. Finance rebuilds the invoice by hand every month.

  1. Counts arrive without a period

Seat, device or site quantities reach billing without the client or date range they belong to.

  2. The retainer swallows the extras

A fixed managed-services fee and one-off project work end up as one unexplained total.

  3. Out-of-scope time goes unbilled

Approved after-hours or project time sits in a timesheet and never reaches the invoice.

MSP invoicing software

Managed services billing without a spreadsheet in the middle.

MSP invoicing software has to carry three kinds of charge on one client invoice: the recurring agreement, the per-unit counts and the project or time work. Invoicera keeps each with its own source and rule, so IT billing stays explainable when a client questions a line.

  1. Per-seat, per-device and per-site lines

Counts you enter or import become line items priced from a rate card. This is on Scale and Enterprise.

  2. Retainers and project milestones

The managed-services fee runs on schedule and accepted milestones bill their agreed amount, on Grow and above.

  3. Approval before send

A reviewer approves the month's invoice before it reaches the client, with an audit trail of the decision.

The boundary

Invoicera is the billing operation, not the service desk.

Monitoring, ticketing and asset tools stay where they are. Invoicera names no PSA or RMM product and claims no connection to one: the month's counts arrive as an entered or imported quantity, never as raw device events.

  1. No device monitoring

Invoicera does not watch endpoints or decide what is in service.

  2. No ticket management

Support requests and SLAs stay in the service desk you already run.

  3. No raw usage events

Usage is billed from counts entered or imported as line items.

How it works

Turn the month's counts and work into one reviewed invoice.

Invoicera bills from the quantities and approved work you give it. It does not read devices or a service desk.

  1. 01

    Bring in the quantities

Enter or import per-seat, per-device or per-site counts as line items for each client and billing period.

  2. 02

    Apply the agreement

Rate cards, the managed-services retainer, accepted milestones and approved time combine on one invoice.

  3. 03

    Review, send and collect

A reviewer approves before send, the client pays through the portal and reminders follow any overdue balance.

A practical decision rule

Each MSP charge keeps its own rule.

Managed services billing usually mixes a fixed fee, per-unit charges and project work. Keep each as its own line so the client can check it.

Worked example

One MSP client month (illustrative)

Managed-services retainer
$3,000
Seats
48 × $35 = $1,680
Devices
22 × $12 = $264
Accepted migration milestone
$4,500
Approved after-hours time
5 × $150 = $750
Invoice total
$10,194
The client receives one invoice, and every line can be traced to its count, schedule, milestone or approved hours.

FAQ

Frequently asked questions

What is MSP billing software?

MSP billing software turns a managed service provider's agreements into client invoices: the recurring managed-services fee, per-seat, per-device or per-site charges, project work and billable time. Invoicera does that from counts you enter or import and from approved work, with review before the invoice is sent and follow-up after it.

Does Invoicera connect to our PSA or RMM tool?

No. Invoicera names no PSA or RMM product and has no connection to one. Export the month's seat, device or site counts from your tools and import them as line items, or enter them directly. Billing from entered or imported quantities is on Scale and Enterprise.

Can Invoicera handle IT billing for projects and support hours?

Yes. Accepted project milestones bill their agreed amount and approved time is billed at the agreed rate, on Grow and above. Project milestones tracked in Jira can flow into billing through the Jira integration. Each stays a separate line on the client invoice.

When is msp billing a good fit?

Use this sector path for managed service providers and IT services firms where retainers, seat or device counts, projects or approved time drive client invoices. Start with the actual source record, people and exception rather than a polished demonstration. The right fit should keep the amount, authority, current state and next action understandable when a normal input changes or a required detail is missing. Confirm the applicable plan and configuration before treating the example as your operating design.

What is outside the scope of msp billing?

Invoicera does not monitor devices, manage tickets or development work, connect to remote-monitoring or service-desk tools, ingest raw usage events or run specialist product-subscription lifecycles. A page title does not extend the documented product scope or decide a legal, tax, financial or contractual conclusion. Keep the responsible delivery, payment, books and professional-review processes in their established systems, and verify any material assumption before it changes an invoice, customer balance or published commitment.

What should we test before choosing this path?

Test a support renewal, a mid-month seat change, a delayed customer acceptance and one corrected time entry, using an imported quantity file. Use a controlled billing record without real customer data and include one changed term, missing reference, partial amount or delayed decision. Ask a second reviewer to identify the current owner and next action without verbal guidance. Record any required integration, permission and plan limit as a pass-or-fail condition rather than assuming it from a general feature label.

How should the hand-off to another system work?

Monitoring and service-desk tools keep the operational record; Invoicera keeps the approved billing input and invoice; the established finance process keeps the books. Name the object, direction, trigger, failure owner and authoritative system before implementation. A familiar vendor logo or exported file does not prove that every field or state is supported. Reconcile one small controlled batch first, retain the source evidence and keep ambiguous records open until a responsible reviewer resolves them.

What evidence should support the decision?

Use current official product information, a controlled workflow review and attributable customer evidence where available. Do not substitute invented outcomes, generic badges or an unverified screenshot for proof. Record the evaluation date, assumptions, required plan, limitations and decision owner so another reviewer can reproduce why the product path was accepted.
